A Decision to Abandon Paper Chaos

Headquartered in Columbus, Ohio, Health Care Ventures (HCV) owns and operates 12 state-licensed nursing homes located throughout Ohio. However, prior to November, these facilities were owned and operated by a different parent company who basically abandoned them. When HCV came on board, it was chaotic. “We were running on a wing and a prayer,” remembers HCV’s COO, Al Lovitz. “We knew we needed a reliable system to get organized and manage the day-to-day operations of the subsidiaries.”

A Wing and A Prayer

As HCV began to get acclimated to the new facilities, it became apparent that they needed to make upgrades and changes to the multiple software systems they were using. Each facility was using its own system and operating independently from the rest, and clinical modules weren’t integrated with financial and billing modules. “The system was very dependent upon paper,” remembers Victor Glassford, an administrator at HCV’s Brookview facility located in Defiance, Ohio. “It was basically paper chaos.”

A Flexible, Web-Based System

“Our principals had worked with Plante & Moran many times over the years,” says Lovitz. “They have a great reputation, so we contacted Plante &Moran’s Continuing Care Sector Leader, Jeff Heaphy, and told him about our situation and what we were looking for. He thought PointClickCare (PCC) might be a good solution for us and referred us to his colleague, Roy Smoot.”

PCC is a fully hosted, on-demand solution available to users over the Internet. It provides users with all of the functionality and benefits ofa high-end, long-term healthcare application.

“We knew PCC would work perfectly,” says Smoot. “It’s flexible, so even though it comes with many preset applications, reports, and processes, staff at various facilities can customize it to meet their specific needs. In addition, it’s a web-based system, so users have virtually no up-front investment or related support expense headaches. There’s no extra software, hardware, or networks to worry about.” Although HCV evaluated several solutions, they ultimately decided to go with PCC. “We loved that it was web-based,” says Glassford. “You truly point and click, and it operates for you. It is simple to learn, and it’s consistent with what we already used every day.

Now that PCC is in place at HCV’s facilities, they’ve realized a number of benefits. The corporate office can access any and all reports instantaneously. The same system governs all facilities, which facilitates improved communication. And it allows fingertip access to operating each facility.

“We have instant access to all resident information —clinical, financial, you name it, we can get it in seconds,” says Glassford. “I can see RUGs classifications, balance sheets, and cash receipts —PCC has allowed us to move to a paperless environment with confidence.”
